Developing a paperless business

Prior to the pandemic, the Clear Vision Financial Management team had been on a mission to become a truly paperless business.
Now, we all know how difficult this can be with clients sending in their various receipts, invoices and other bookkeeping paperwork. However, this was not going to stop the Clear Vision Financial Management team.
The initial reasons for going paperless was to reduce the consumption of paper in order to become more environmentally sustainable. Freeing up some office space was also key with the team growing, instead of looking for more office space reducing the amount of paperwork has meant more space for desks. Becoming more time and cost efficient is vital to any business so being able to print less and reducing the need to post out paper documents has reduced costs and the time in printing and sending.
Storing documents electronically also means they are more secure, cloud-based management systems provide high-tech security ensuring all data and documents are safely filed away without the need to use bulky filing cabinets. The business has also recently completed the Cyber Essentials certification and a comprehensive GDPR training programme resulting in a robust policy.
With the pandemic in 2020, the need to complete this project became more important as the Clear Vision Financial Management team needed to work from home and still provide valuable accountancy services and business advice to their clients. Being able to access documents remotely and to collaborate with clients throughout the various lockdowns was vital to ensure everyone could keep on top of financial information needed.
